- Account data: name, email address, profile picture (from your authentication provider)
- Property data: tenancy details, property addresses, landlord/tenant relationships (sourced from AgentOS)
- Financial data: rent statements, invoices, payment history (sourced from AgentOS)
- Maintenance data: job reports, repair status, contractor interactions
- Documents: tenancy agreements, inspection reports, uploaded files
- Usage data: feature usage, page views, actions performed
- Technical data: IP address, browser type, device information
3. How We Use Your Data
- Provide and maintain the property portal service (legal basis: contract)
- Display your tenancy, financial, and maintenance information (legal basis: contract)
- Facilitate document sharing between you and your agency (legal basis: contract)

4. Data Retention
We retain your personal data only as long as necessary for the purposes described above. Account data is retained while your account is active. Property and financial data is sourced live from your agency’s systems via AgentOS and is not permanently stored in myProp. Audit logs are retained for 90 days. You can request deletion at any time.
5. Your Rights
Under applicable data protection laws, you have the right to:
- Access your personal data
- Correct inaccurate data (via your agency or account settings)
- Delete your account and all associated data
- Export your data in machine-readable format
- Withdraw consent for analytics and marketing
- Object to processing based on legitimate interest
6. Sub-Processors
We use the following third-party services to process data on our behalf:
- Vercel — hosting and deployment (US/EU)
- Neon — PostgreSQL database (configurable region)
- AgentOS (letmc.com) — property management data source (UK)
- AWS Cognito — authentication provider (EU)
- Resend — transactional email (US)
